About the Role:
This Clerical Officer role in West Yorkshire is crucial for smooth patient administration. You will process referrals, maintain accurate patient records, schedule appointments, and manage correspondence, ensuring a high-quality patient experience.
Key Responsibilities:
- Process referral letters from GPs and healthcare professionals following Trust policies.
- Prepare and maintain patient notes, ensuring completeness and accuracy.
- Manage patient appointment scheduling using the Patient Administration System (PAS).
- Handle internal and external correspondence promptly, including scanning and uploading clinical correspondence to electronic records.
- Answer telephone calls professionally and discreetly, taking messages and returning calls as needed.
- Obtain patient attendance information and record it accurately in the PAS.
- Collect additional information to monitor service quality according to Trust Performance Management Framework.
- Provide clerical support to colleagues as needed, covering for absences.
- Inform line manager of any changes or cancellations to patient appointments and clinics, adhering to Inpatient/Outpatient Management policy.
Skills and Expertise:
- Proficiency in using the Trust’s Patient Administration System.
- Excellent communication and interpersonal skills, with the ability to maintain patient confidentiality.
- Strong organizational and time management skills.
- Knowledge of relevant Trust policies and procedures.
- Experience with handling and managing confidential information.
