About the Role:

This Clinic Administrator role is crucial for ensuring smooth patient flow and efficient clinic operations in Greater Manchester. The role requires meticulous attention to detail and strong communication skills to support clinicians and patients.

Key Responsibilities:

  • Register new referrals within 24 hours and input patient data accurately.
  • Manage clinic templates, including appointment scheduling, cancellations, and additions.
  • Liaise with referring trusts on outstanding patient reports.
  • Handle general administrative tasks such as correspondence, filing, and record keeping.
  • Identify patients with extended waiting times and take corrective actions.
  • Escalate service issues, capacity concerns, and risks related to waiting times to management.
  • Communicate appointment changes and clinic updates to relevant staff.
  • Collaborate with other Clinic Administrators for optimal patient experience.
  • Meet with supervisors and managers to address capacity issues.
  • Communicate with patients and relatives professionally and empathetically, addressing any communication barriers.
  • Execute tasks assigned by the Clinic Supervisor, including creating and booking clinics.
  • Manage workload autonomously and prioritize urgent matters.
  • Maintain a thorough understanding of Health Records systems and CareFlow.
  • Maintain understanding of RTT and Cancer Standards, and contribute to compliance.
  • Adhere to Trust policies and procedures.
  • Support the service by covering absences of colleagues.
  • Train new staff members in allocated areas.
  • Undertake any additional duties as needed.

Skills and Expertise:

  • Strong organizational and administrative skills.
  • Proficiency in patient administration systems (CareFlow).
  • Excellent communication and interpersonal skills.
  • Experience with Health Records systems.
  • Knowledge of RTT and Cancer Standards.
  • Ability to prioritize and manage multiple tasks.
  • Strong attention to detail and accuracy.
  • Empathetic and professional communication skills.
