About the Role:

This permanent Endoscopy Administrator position within the Clinical Administration Unit is crucial for providing efficient and well-organized administrative services. This key role involves supporting the booking team and ensuring smooth patient flow within the Endoscopy Department.

Key Responsibilities:

  • Filing of case notes, results, and reports, and distributing to relevant consultants and GPs.
  • Requesting case notes for procedures.
  • Booking in and out of case notes on the computer system.
  • Photocopying and assisting with postal requests and internal paperwork distribution.
  • Competent use of Patient Centre and Endoscopy software (training provided).
  • Answering telephones and promptly addressing all inquiries.
  • Dealing with inquiries from members of the public, doctors, nurses, and other staff, in a courteous and efficient manner.
  • Handling non-clinical patient queries from patients, carers, GPs, and administrative/clerical staff.
  • Managing unpredictable workload, prioritizing tasks from frequent interruptions like phone calls and staff requests.
  • Liaising with the Maidstone endoscopy department.
  • Undertaking any other reasonably required duties.

Skills and Expertise:

  • Excellent administration and organizational skills.
  • Proficiency in using relevant computer systems and software (Patient Centre, Endoscopy system).
  • Strong communication and interpersonal skills.
  • Ability to work effectively as part of a team and manage workload prioritization.
  • Experience with filing and record-keeping.
  • Attention to detail and accuracy.
