About the Role:

This role requires a motivated and experienced receptionist to support the busy Outpatient Department. Key responsibilities include managing patient appointments, handling communications, and ensuring smooth clinic operations.

Key Responsibilities:

  • Manage patient appointments using the Hospital Information System (HIS).
  • Respond efficiently to telephone calls and queries.
  • Liaise with clinic staff (doctors, nurses, secretaries, etc.).
  • Input patient data accurately.
  • Print patient lists and reports.
  • Check patient demographics and identify overseas visitors.
  • Process patient attendances and outcomes.
  • Adhere to 18-week pathway targets.
  • Arrange ambulance transport (when required).
  • Handle complaints and provide general advice.
  • Organize workload and liaise with Health Records regarding records.
  • Complete medical forms and never letters.
  • Comply with Trust policies and procedures.
  • Support patient activity within departmental targets.
  • Attend mandatory training courses.

Skills and Expertise:

  • Proven experience in a clerical or reception environment.
  • Excellent communication and interpersonal skills.
  • Strong telephone manner.
  • Flexibility to work various shifts (days, evenings, weekends).
  • Proficient in using IT systems.
  • Ability to work under pressure and remain calm in stressful situations.
  • Teamwork and problem-solving skills.
