About the Role:

This role requires a highly organised and customer-focused individual to provide comprehensive reception and administrative support to a medical practice in London. The role plays a vital role in ensuring smooth patient flow and efficient administrative processes.

Key Responsibilities:

  • Managing appointment schedules and monitoring patient flow.
  • Providing clear and friendly guidance to patients and visitors.
  • Processing patient administration tasks, including data entry, and ensuring accurate records.
  • Managing repeat prescriptions within the required timeframe.
  • Handling patient queries and requests professionally.
  • Handling private service payments and issuing receipts.
  • Maintaining a clean and welcoming reception area.
  • Providing cover for other reception/administration staff as needed.
  • Demonstrating expertise in appointment systems.
  • Directing patients to the correct healthcare professional.
  • Booking appointments and recording necessary details for retrieval.
  • Monitoring appointment system effectiveness and reporting any issues.
  • Retrieving and filing medical records according to procedures.
  • Handling patient registration and record updates.
  • Scanning documents and entering patient data into computer systems.
  • Operating the telephone system efficiently, taking messages and diverting calls.
  • Preparing the reception area for the start and end of the working day, including security procedures.
  • Undertaking additional tasks as assigned by the Practice Manager or GPs.
  • Adhering to all practice policies and maintaining patient confidentiality.
  • Prioritising own health and safety and contributing to a safe working environment.

Skills and Expertise:

  • Excellent communication and interpersonal skills.
  • Proficiency in using medical administration software.
  • Experience in managing patient appointments.
  • Strong attention to detail and accuracy.
  • Ability to handle multiple tasks concurrently.
  • Proven ability to maintain confidentiality.
  • Familiarity with medical terminology is desirable.
  • Computer literacy (including data entry and document management).
