About the Role:

We are seeking a dedicated and enthusiastic Wheelchair Administrator to join our team at Norwich Community Hospital. This role focuses on improving administrative processes to enhance patient care. The ideal candidate will possess excellent communication and customer service skills to support our patients and colleagues in a fast-paced NHS environment.

Key Responsibilities:

  • Answering telephone calls and greeting patients.
  • Assisting patients with queries and NHS computer systems (including SystmOne).
  • Managing referrals for new patients and repairs.
  • Booking clinic appointments and home visits for repairs.
  • Maintaining strict confidentiality and communicating with patients and relatives with courtesy and discretion.
  • Carrying out a variety of administrative and clerical duties, including using software (SystmOne, Equip), managing documents (reports, spreadsheets, databases), and maintaining records.
  • Handling telephone calls from members of the public and health professionals, providing and receiving complex and sensitive information.
  • Making outbound calls to patients for appointments, deliveries, and information.
  • Communicating with patients and clients, providing clear guidance, and resolving routine enquiries.
  • Communicating with external organizations for equipment purchases.
  • Processing referrals, triaging, and managing waiting lists.
  • Maintaining schedules, diaries, and clinics for clinicians and field engineers.
  • Organizing and servicing Wheelchair Service Team meetings.
  • Communicating with clinicians, field engineers, and service leads.
  • Monitoring personal wheelchair budget applications.
  • Processing orders, receipting, and maintaining relationships with outside providers.
  • Enquiring and requesting updates on outstanding orders, resolving conflicts, and escalating issues.
  • Attending the weekly Patient Tracker Meeting.
  • Exploring cost efficiencies in the procurement process.
  • Providing support to other departments during periods of absence, potentially travelling to other sites.
  • Attending relevant meetings.
  • Following mandatory training and adhering to Trust policies and procedures.
  • Efficiently using office equipment and supplies.
  • Monitoring and maintaining stock levels.
  • Inputting data into databases (SystmOne, Equip).
  • Providing reception cover, checking patients into the service.
  • Reporting maintenance, cleaning, health and safety, and site issues.
  • Providing training and support to colleagues.
  • Working within a changing environment, responding positively to demands and changes.
  • Monitoring and reporting sickness absence and annual leave.

Skills and Expertise:

  • Experience in undertaking a range of administrative duties.
  • Excellent customer care skills.
  • Experience working in a busy office environment, preferably with NHS experience.
  • Teamwork and multitasking skills.
  • Excellent organizational and communication skills.
  • Knowledge of SystmOne (advantageous, training provided).
